is there a deadline on your desk that no one on your team has time to write for?

Hand it over. Tell us the funder and the due date by whichever route suits your day — a call between patients, a quick email, or the form further down — and by the next business day you’ll know whether we can take it, which package fits, and the flat fee in writing.

Found us after 4pm, or on a Saturday?Leave the details anyway. Messages that arrive after hours are the first thing we open at 8:30 the next business morning.

Lead time

how many days until it’s due? that decides the quickest way in

The closer the date, the faster the channel should be. Here’s the route we’d suggest — or pick your due date and we’ll point to it for you.

Pick a date and we’ll tell you which door to knock on.

  1. 42+days out

    the comfortable road

Room for a federal package or a North Carolina state RFA. Send the form; you’ll have a fit check and your flat fee by the next business day, and a one-page scoring map in week one.

    Use the form
  2. 21–41days out

    foundation territory

A foundation full proposal fits about three weeks. Federal work gets tight here, though not always out of reach. Form or phone — whichever is quicker for you.

    Send the details
  3. 8–20days out

    pick up the phone

Letters of inquiry and shorter foundation applications are often still workable. Five minutes on the line tells us more than a long email thread.

  4. call today

    0–7days out

    this week

Call this morning. We’ll open the notice while you’re on the line and tell you plainly whether we can do it well. If we can’t, we’ll say so — and help you aim for the next cycle.

    Call the desk now

Not sure of the date yet? That’s more common than you’d think. Send the funder’s name and we’ll find the current notice and its deadline for you.

Write it down

send the funder and the date — we’ll take it from there

Here’s what happens once it’s on our desk, so nothing about the next week is a guess.

  1. Within one business day

A reply from the writer who’d take it on: whether we can, which package fits, and the flat fee in writing.

  2. If it’s a yes

Your one-page scoring map — the notice read twice, every scored criterion matched to what we’ll write.

  3. Kickoff

A 60-minute interview by phone, video, or across our table on Bass Chapel Rd. Half the fee is invoiced here; the other half when your confirmation receipt lands.

Sending this commits you to nothing. If the fit isn’t right, we’ll tell you so in the same reply, and suggest what to look for instead.

A link to the notice is perfect. So is “we’ve never applied anywhere before.”

None of it is required to say hello. Each one simply saves a round of back-and-forth later — and if something’s missing, the right-hand column says what we’ll do about it.

Documents to send ahead of a first call, why we ask for each, and what to do if you don’t have it
The documentWhy we askNot on hand?
01The funding notice It’s the rulebook — page limits, scoring criteria, and the exact submission time and time zone. Send the funder’s name; we’ll find the current notice.
02Latest Form 990 or audit Funders weigh a request against your budget; we make sure the ask is in proportion. Last year’s board-approved financials will do to start.
03IRS determination letter Nearly every foundation wants your 501(c)(3) letter as an attachment. We’ll walk you through requesting a replacement copy.
04Board list with affiliations Reviewers look at governance, and many portals ask for the list outright. Names and roles in an email are plenty for now.
05This year’s program budget It anchors the budget and the line-by-line narrative we write beside it. A rough spreadsheet is fine — we’ll tidy it together.
06SAM.gov & UEI status (federal only) Federal submissions are rejected without an active registration. We check it in week one and help you renew if it has lapsed.

Large files? A shared-folder link from Google Drive, Dropbox, or Box opens fine on our end.
